  • * Entrance fees to archaeological, historical sites & museums as specified in the Itinerary.

  • * Transport
  • * Return Air Ticket (based on Economy Class / Business Class)



Medical Bill; All tips and gratuities to: Local Tour Guides, Escorts, Motor Coach Drivers, Hotel & Restaurant Staff; Travel Insurance; Visa Charges; All personal expenses such as Phone Calls, Laundry/Valet service, Beverages, Wines, Liquors, Tea, Coffee, Mineral Water, Food other than the table d’hôte menu, Lunch; Baggage Insurance; Excess baggage; Any other item(s) not specifically mentioned as included.


PASSPORT AND VISAS: It is the duty of every Applicant to have a valid passport for at least six (6) months prior to departure date, with the appropriate tourist visa for the destination and / or transit country. It is the Applicant’s responsibility to have the necessary documentation in their possession before traveling. If the Applicant is unable to be on the trip or its part due to any visa refusal, the Total Event amount shall be subjected to refund with a deduction of $150. In case Royal Meditours assist in visa processing, they cannot be held responsible for visa refusals, delays or disappointments since visa approvals are based on the EMBASSY’S own discretion and decision.


NB: If a fake document is detected or false information is provided, application would be turned down
RESERVATIONS: Royal Meditours handles all bookings made by individual clients and Groups strictly depending on availability. Filling the official Applicant form constitutes a binding agreement.
PAYMENT CONDITIONS: In order to make firm reservations a minimum of 50% deposit payment by cash, cheque, or bank draft per person of the amount charged should accompany Application form. If any form of payment is delayed beyond the deadline date of registration, Royal Meditours will be obliged to cancel the whole reservation without making refund. Registration fees of $100 and Administration charges of $350 are non-refundable once paid.
METHOD OF PAYMENT: Payment is by CASH/BANK DRAFT/CHEQUE or as per AGREEMENT between Royal Meditours and Applicant. (In case of any foreign currency cheque, please add $100 to cover Bank Charges).
NB: We do not charge for any Medical Care, this will be between Applicant and the Medical Facilitator. If Applicant ask for Bank transfer assistance, he/she shall pay the Bank Charges.
Royal Meditours use touristic hotels (2-5star) so as to make the trip more affordable and attractive. Hotels shall provide Breakfast and Dinner as well as Bedroom as per Applicant’s marked. Where Applicant incurs  extra expenses such as Phone Calls, Laundry/Valet service, Beverages, Wines, Liquors, Tea, Coffee, Mineral Water, Food other than the table d’hôte menu and Lunch, payment shall be made directly by the Applicant to the hotel.
RESPONSIBILTY: Royal Meditours regrets but cannot be held responsibility for any personal injury to Applicant. It is therefore recommended for Applicant to be insured before travelling. Royal Meditours does not accept liability for lost, stolen or damage personal property (including money), losses or expenses due to delay or changes in schedules, hotel over booking or defaults, sickness, epidemics, quarantine, bad weather conditions, strikes, war, revolution, coup, riots, civil disturbances, theft, pilferage, acts of terror, direct or indirect results of acts of God, or any other causes beyond the direct control of Royal Meditours. Carriers and Hotel Owners’ liability is governed by applicable laws or international conventions. In such cases all additional expenses have to be covered by the Applicant. If Applicant arrives too late at the port of embarkation and the plane /car/ ship has sailed, then all consequences and cost that may occur will be borne by the Applicant. If Applicant is involved in any criminal activity, the person will solely be held responsible.
OTHER TERMS AND CONDITIONS: Applicant is humbly requested to cover tips for: Drivers, Hotel Staff and Tour Guides. For the protection of Applicant, Royal Meditours has the right to change date due to security reason(s) or any unfavorable situation. Royal Meditours has the right to reject any Applicant if to their own observations or based on information, detect that the Applicant can cause a problem at the transit point or destination region. Due to international laws relating to the program, cost may change at any given time, of which Applicant would be advised accordingly, for settlement of the difference. Please note that Applicant’s visa approval shall based on the information surrounding him/her, e.g . His/her own: financial ties, social ties, business ties, family ties, etc. As Royal Meditours is creating a good name for itself and for Ghana as a whole, there shall be no room for any Applicant who intend to abuse immigration privileges. No explanation shall be provided to any Applicant whose application shall be turned down. The fact that Applicant has submitted an Application does not mean that he/she automatically qualifies to be part of our holiday and Medicare trip; all applications are vetted carefully by Royal Meditours, Associate Partners and the Embassy.
Royal Meditours shall not be responsible for any costs incurred by the Applicant which do not form part of the original itinerary agreed between the two parties. Whilst Royal Meditours will strive to ensure the personal safety of clients within its care as far as can reasonably be expected, there shall be no guarantees and it is incumbent upon the Applicant to also exercise reasonable precaution at all times. The Embassy may request any additional document(s) where necessary and there could be a short interview. Where special services are required by the Applicant whether they are dietary, cultural, religious etc. the Applicant shall give a written notice of such in advance and Royal Meditours shall do what it reasonably can, and to comply with such request. In the event of any particular service not being available for any reason whatsoever, Royal Meditours reserves the right to substitute services of a similar standard. Royal Meditours reserves the right to change, amend, or cancel bookings during the course of an itinerary, should circumstances make it unavoidable. There shall be a supplementary form to this Application.
CONFIDENTIALITY: We do not give information of the Applicant to anybody without authorization. This is the Applicant’s private affairs and as such it is our habit to keep information secret.
CANCELLATION REGULATIONS & REFUNDS: In the event of an Applicant’s cancellation of travel, written notice must be received by Royal Meditours before the commencement of the trip. Any issue raised after the trip shall be null and void.
Refund shall only be made in the following circumstances after notification of cancellation by Applicant:
  • *Above 30 days before departure = 90% refundable
  • * Less than 30 days before departure = No refund is permitted
  • * During visa processing = No refund
  • * No appearance at the airport for embarkation, for whatever reason = No refund.
NB: Refund shall take a minimum of 8 weeks for processing, after the Accounts office of Royal Meditours has received the refund letter. Please note that the letter should be submitted before the commencement of the trip, but not after the trip date. Refunds are made by cheques only to Applicant and nobody else.
NB: Since Royal Meditours deals with other service providers such as: hotels, bus companies, tour companies, etc, cancellation will by all means attract penalty.
Hospital Cancellation:
Although condition differs from one hospital to another, we hereby provide you with the general condition as follows:
At any stage, if you wish to cancel the procedure, the hospital will refund your fee back to you, in relation to any procedures and costs that have not been incurred by you at the stage you decide to cancel. If, for example, you have undertaken outpatient’s facilities, then these costs will have to be covered and the rest will be reimbursed.  Refund shall take a minimum of 8 weeks for processing, after the Accounts office of Royal Meditours has received the refund letter on behalf of the Hospital.
I certify that all the information provided by me is correct; and I confirm that all the terms and conditions of the program are fully noted. I understand that, the fact that a visa has been granted to me does not mean that I will be entitled to compensation if I fail to comply with the relevant provision at the point of departure, transit or entry and thus resulted in refusal of departure, transit or entry. The prerequisites for departure, transit or entry will be checked again at the generation, transit or destination country. I agree that my application is subject to the terms and conditions of the Embassy, Royal Meditours and their Associate Medical Facilitators. I therefore submit the form to indicate my clear understanding of all the aforesaid terms and conditions of the program.
